Artwork and Logo-Approval Policy

Last updated: October 7, 2026

Every custom order starts with your artwork and ends with your approval. Nothing gets stitched until you say so. Here is how it works.

Sending Us Your Artwork

Send the clearest version of your logo or design that you have. A vector file (AI, EPS, PDF or SVG) is ideal, but a high-quality PNG or JPG works too.

  • Online designer. Upload a JPG, PNG, WebP or SVG image and place it on your item. For other files, such as PDF, AI, EPS or DST, use the “Send us your file” box in the designer (up to 25 MB).
  • Quote form. Attach your file to our bulk quote form (up to 25 MB).
  • Text or in person. Text it to (346) 813-2096 or bring it by the shop.

Tell us where the design is going (hat front, left chest, back and so on), about how wide you want it, and any color requirements.

Logo Digitizing

Before a logo can be embroidered, it has to be digitized, which means turning it into a stitch file that tells the embroidery machine where every stitch goes. Digitizing is a one-time fee per design, based on how wide the design will be stitched:

Design widthOne-time fee
Up to 4 inches$25
Over 4 to 6 inches$30
Over 6 to 11 inches$35
  • Digitizing is free when you order 12 or more customized items from our shop. The fee applies to items you bring in.
  • It includes the DST embroidery file, a PDF proof and one revision requested within 24 hours of file delivery. Additional revisions, or revisions requested after 24 hours, are $10 each.
  • The DST and PDF files belong to you. We also keep a copy on file, so reorders of the same design do not need to be digitized again.
  • Digitizing fees are non-refundable once digitizing work begins or the files are delivered.
  • Online orders are limited to a finished embroidery size of 11 inches or less.

Your Mockup

Before we stitch, we send you a mockup showing the design, wording, thread colors, size and placement. Mockups are usually ready within 1–2 business days.

Approving Your Mockup

  • Please check your mockup carefully, including the spelling, colors, placement and size.
  • Production only starts after you approve the mockup.
  • Your approval confirms the design is correct. If your finished item matches the mockup you approved, it is not considered a mistake.
  • Need a change? Tell us before you approve.
  • You can cancel your order any time before we start stitching. Once embroidery has started, the order cannot be canceled.

What to Expect From Embroidery

Embroidery is made with thread, so a stitched design will not look exactly like a printed design or an image on a screen.

  • Very small text, fine lines, gradients and photo-like artwork may be simplified.
  • Thread colors are matched as closely as possible but may look slightly different from what you see on a screen.
  • Placement is done by hand and may vary slightly from item to item.
  • Final sizes may vary slightly from the mockup.
  • Embroidery pricing includes designs up to 20,000 stitches. Over that, it is $1.00 per 1,000 stitches. We confirm the stitch count after digitizing and get your approval for any added charge before production.

Your Rights to the Artwork

By sending us artwork, a logo, a name or any other design, you confirm that you own it or have permission to use it, and that it does not infringe anyone else’s trademark, copyright or other rights. You agree to be responsible for any claims that result from designs you provide.

We may decline any design we believe infringes someone else’s rights or that we consider offensive or inappropriate. If we decline an order before work begins, we will refund what you paid for it.

How We Keep and Use Your Artwork

We keep your approved designs and stitch files on file so reorders are quick, and you can ask us to delete them at any time. We do not share your artwork or logos with anyone else or use them in our marketing without your permission. See our Privacy Policy.
